Position Description: Conferencing Co-0rdinator

Position Summary
The position is responsible for interacting closely with clients to ensure seamless planning and coordination of meetings, conferences and other events.
The conferencing coordinator shall ensure efficient operational and service delivery of the conference
and meeting facilities at Apollo Centre.
Job Functions
Range of Responsibility:
1. Prospecting for new clients to ensure high occupancy rate in order to maximize business return.
2. Conducting facility site inspections to ensure pristine condition and maintenance of the property.
3. Coordinates all audiovisual requirements of the client and ensures that proper equipment is ordered.
4. Checking that meeting rooms are set-up correctly, with the proper equipment, stationery and amenities,

Job Functions
Range of Responsibility:
1. Prospecting for new clients to ensure high occupancy rate in order to maximize business return.
2. Conducting facility site inspections to ensure pristine condition and maintenance of the property.
3. Coordinates all audiovisual requirements of the client and ensures that proper equipment is ordered.
4. Checking that meeting rooms are set-up correctly, with the proper equipment, stationery and amenities,
5. Participating in pre-conference meetings involving, the clients or complex and/or large-scale events are being finalized.
6. Welcoming clients upon arrival to and ascertaining any new requests.
7. Sending initial confirmations in connection with bookings and following up at specified intervals prior to the event to confirm the status of the meeting, the accuracy of participant counts, the need for special equipment, etc
8. Working with the client and the caterer to plan food and beverage requirements for events.
9. Conduct service evaluation for clients hosted in the facility to identify areas that need improvement and make recommendation to management.
10. Responding to phone calls and emails with new meeting requests and special “add-on” information for existing meetings.
11. Conducting facility tours for prospective clients.
12. Recording cancellation details and confirming any meeting cancellations to the client by e-mail and applying cancellation charges as appropriate.
13. Maintain accurate occupancy records for assigned conference groups
14. Review of all bills that are sent to the client to ensure they are accurate and timely.
Minimum Qualifications
At least 2 year’s experience in similar position in hospitality industry.
A Diploma in Marketing
Good interpersonal skills, excellent communications and analytical skills
well developed computer skills.
