Job Description
Perform a wide range of administrative and office support activities to facilitate efficient operation of the Organization.
Main Job Tasks and Responsibilities
• Ensure the reception is professionally manned at all times
• Open, sort and distribute incoming and outgoing correspondence
• Prompt assistance to internal and external clients
• Ensure timely and prompt follow up, dispatch, receipt of mail
• Ensure timely payment of utility bills e.g. electricity, telephone, internet
• Ensure timely payment of monthly statutory deductions e.g. NSSF, NHIF, HELB
• Assist new to staff enroll for NSSF, NHIF and medical scheme
• Dispatch stationery to staff in the office and to staff in the regions as per request and approval and maintain up-to-date records of stationery purchases
• Supervise and oversee office cleaning
• Assist HR department in day to day running of the department
• Follow up on NHIF and NSSF on staff statements
• Procurement of stationery and staff monthly airtime
• General clerical duties including photocopying, mailing and binding
• Maintain electronic and hard copy filing system
• Retrieve documents from filing system
• Resolve administrative problems and inquiries
• Prepare written responses to routine enquiries
• Record, compile, transcribe and distribute minutes of meeting when required
The Ideal Candidate
• Preferably Degree/Diploma holder in Business Administration
• Demonstrated written and oral communication skills
• Ability to work independently and as a team
• Minimum two years administrative experience in a busy office set up
• Results oriented and ability to set own meet and set own deadlines
• A self starter who is able to work under minimal supervision
• Excellent communicator with strong interpersonal skills
• Smart and highly presentable
• Friendly person with pleasant personality
• Conversant with Microsoft Office Software (Word, Access, Excel, Power-point)
• High degree of discretion dealing with confidential information
• Knowledge of general office machines and telephone system
• Required immediately
