Administrative Assistant with UNICEF Somalia, Garoowe office.

The incumbent will work closely with the Admin/ Finance Officer, and will be accountable for a variety of administrative duties related to operation’s budget, office supplies, communication equipment, financial transactions, and administration of the office.

If successful, you’ll be part of a dynamic and passionate team in Nairobi and Somalia that works together to improve the health, nutrition, water, sanitation, hygiene, and basic education of Somali girls and boys and protect them from violence, exploitation and abuse".

The successful candidate will be offered a Fixed Term Appointment for one year. Further extensions will be based on organizational needs, availability of funds and satisfactory performance.

Major duties and responsibilities:
 Searches office files and records relating to a variety of topics for information and reference. Selects information and records in specified format or on the basis of general instructions for use by others in preparing reports, correspondence, technical papers, project or programme plans and general reference documents.
 Receive, screen and log incoming mail and correspondence, attaching responses to routine and non-substantive correspondence for the Operations Section, ensure that the urgent mail is attended to promptly by the designated staff member
 Drafts correspondence and reports in accordance with standard office procedures. Responds to queries relating to the area of responsibility.
 Supervise activities and services related to maintenance and repair of UNICEF Vehicles, generators, office and guesthouse, and security of UNICEF premises and property.
 Arranges meetings, both internal and external, some involving high-ranking officials
 Makes travel reservations, prepares travel orders and assembles information pertinent to the purpose of travel.
Advises and makes arrangements for shipment and receipt of office and project supplies and equipment
 Maintains, updates and transmits inventory records of non-expendable equipment
 Performs other duties, as required

Qualifications, Experience and competencies
 Completion of secondary school education preferably supplemented with diploma or training in Business Administration
 Four years general clerical work, which should have provided a good knowledge of clerical practices and procedures.
 Good knowledge of computer applications like word processing and spreadsheets
 Fluency in English and Somali languages (written and oral) is required.
 Ability to organize and prioritize work and communicate with tact.
 Ability to work independently and accurately.
 Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization.
