Administration Officer.
Description:
The Australian International Food Security Centre (AIFSC) within the Australian Centre for International Agricultural Research (ACIAR) is seeking an Administration Officer (AO) to support the AIFSC office in Africa.
The AIFSC AO will be located in Nairobi, Kenya, initially in the Australian High Commission.
The position provides general administrative support to the African regional office of the AIFSC and to the AIFSC Liaison Officer.
About ACIAR and the AIFSC:
ACIAR is part of Australia’s development assistance program, fostering international agricultural research and development partnerships that will result in more sustainable agricultural systems, higher incomes and strengthened food security, particularly in Africa, Asia and the Pacific region.
The AIFSC Africa office has responsibilities for the effective delivery of the AIFSC program in Africa.
The office provides support to AIFSC-funded collaborative research and development partnerships through liaison, coordination, representation and administrative activities.

Duties:
1. Assist with day-to-day management of office operations and provide routine administrative support including record management, provision of quotes, procurement through the Department of Foreign Affairs and Trade (DFAT) processes, finance administration, acquittals, creating and updating expenditure spreadsheets, reconciliation of payments and handling general queries. 60%
2. Contribute to the corporate business of AIFSC by providing reception services, including answering telephone inquiries and being a first point of contact for visitors, as well as processing incoming and outgoing mail and coordinating courier collections/deliveries. 15%
3. Make travel arrangements (domestic and international) for AIFSC staff, including booking travel and accommodation; organizing visas; airport transfers, local driver and itineraries. 10%
4. Contribute to meeting, workshop and visit arrangements (in all the 10 countries); including coordination of attendees and preparation of itineraries and meeting papers. 10%
5. Liaise with AusAID, DFAT, DIAC, Austrade staff on operations and administration. 5%
Selection Criteria:
1. A national diploma or a university degree in Administration, Business or Management is required.
2. Minimum three years’ experience working in administrative support with progressive responsibility
3. Sound organisational and administrative skills in office support, including the ability to prioritise, plan and organise tasks to achieve desired results with good time management.
4. The ability to provide outstanding client service; and value diversity through sensitivity in dealing with people from other cultures.
5. Demonstrated ability to work effectively within a team environment; share knowledge; build and sustain positive working relationships; show initiative; and take responsibility for personal development.
6. Well developed written and oral communication skills with the ability to draft simple correspondence and reports.
7. Competency in the use of Microsoft Office suite including intermediate Excel and Word skills and experience in database management.
Salary:
Starting monthly salary will be 127,227 per month. This is a two-year contract position with an option to extend and a probation period of six months.
