Position title:Intern – Human Resources

Reporting directly to Sr. HR Assistant

IOM Nairobi is a Regional Mission with Coordinating Functions for the Horn of Africa based in Nairobi, and covers Kenya,
Tanzania, Uganda, Ethiopia, Rwanda, Burundi, Eritrea, Djibouti, South Sudan and Somalia.

Responsibilties & Accountabilities
1) General Functions:
Under the overall supervision of the Human Resources Officer in IOM Kenya, and the direct supervision of the Senior
Human Resources Assistant, the incumbent will provide support to the Human Resources team. S/he will do so in close
consultation with relevant partners and colleagues of the IOM Nairobi Regional office.
2) Essential Functions Include:
1. Assist in recruitment process for National staff, particularly:
• Collect the CV related to the announced position
• Informing by calling or sending email to short listed applicants on interview dates
and timings
• Preparation and sending out to the relevant panel the interview schedule on time.
• Ensuring that all relevant material pertaining the actual interview is prepared and
photocopied prior to the interview
• Administering practical skills tests/exams as required
• After clearance by the HR Assistants, ensure that regret letters have been sent to the unsuccessful candidates
2. Assisting in filling in the Stationery Requisition form and/or a Purchase Order form to obtain stationery or
other office material/equipment from the IOM store (COS department).
3. Assist in requesting and preparing training logistics in coordination with the responsible HR
Assistant.
4. Referring issues, where appropriate, to senior HR staff, administration department etc. for action.
5. Prepare and hand out MSP cards to all local staff members covered by MSP in coordination with the
relevant HR staff.
6. Assist in following up from staff on any compulsory documents or any other important information
needed from staff in the department.
7. Assisting in computation of payments for service providers as needed in the department.
8. Preparation of general letters/documents for staff under the guidance of the HR
Assistants/HR Officer.
9. Filing of documents in the department under the guidance of the HR Assistants and the HR Officer.
10. Perform any other related task as may be assigned.

Education & Experience
Desirable Qualifications.
1. Diploma in Human Resources Management from a recognized institution. A
degree would be an advantage.
2. Working knowledge of Microsoft office and internet applications.
3. Personal commitment, efficiency and results-driven.
4. Sound administration and organizational skills with strict attention to detail.
5. Ability to work in a highly confidential manner
6. Strong interpersonal skills and ability to work as part of a diverse team.
7. Flexible and able to adapt quickly to new, different environments.
